Microsoft Campus Agreement for the University of Göttingen

Since 28.04.2021 the entire University of Göttingen, including the University Medical Center Göttingen (UMG), has joined the federal framework agreement of Microsoft's Campus Agreement. The contract ends on 30.04.2024. The associated large account reseller is SoftwareONE Deutschland GmbH, that already supports the Microsoft Select Plus contract for the university.

Software

As the cost of the Campus Agreement is based partly on the number of employees and partly on the number of systems used, the following software is now available free of additional charge for any number of computers of the institutes and the administration:

  • Windows Upgrade (all versions)
  • Office Professional Plus

“Windows Upgrade” means that you, if your computer is running a licensed Windows operating system (e. g., purchased together with the hardware, OEM license), may use a “higher” Windows operating system. So it is further necessary that you purchase together with your hardware a Windows operating system, a so called base-license (e. g., from the Dell framework agreement). Therefore Dell offers an inexpensive “older” Windows operating system, that then can be upgraded together with the automatic software distribution.

The following Windows versions are upgradeable:

  • Windows 7 (Starter Edition / Home Basic / Home Premium / Ultimate / Pro / Enterprise)
  • Windows 8 and 8.1 (without addition / Pro / Enterprise)
  • Windows 10 (without addition / Pro / Enterprise LTSC 2019)

For computers without Windows operating system you have to purchase first a base-license, if you want to use the upgrade out of the Campus Agreement. These base-licenses are also available at SoftwareONE (somewhat more expensive than purchasing together with the hardware of course). This ensures that a sufficient number of base-licenses are available, which can serve as a basis for the upgrade.

In addition, the following licences are available for the virtual computing environments of the GWDG and the UMG as well as for all physical machines:

  • Windows Server
  • SharePoint Server
  • Exchange Server
  • SQL Server
  • All Standard Client Access Licences (CALs) (for both employees and students)
  • Access licences for external users (External Connectors)

If you require other software from Microsoft, this can still be purchased from SoftwareONE Deutschland GmbH via the Microsoft Select Plus contract. This contract will continue to exist independently of the Campus Agreement.

Software Repository

The GWDG provides a software repository for all available software in the Campus Agreement. From this repository the software can be installed or can be copied to your local computer and then be installed. Furthermore, it is also possible to upgrade the desktop operating system to a newer version of Windows.

The software repository can be accessed as a virtual drive:

\\wfs-msiso.top.gwdg.de\iso$

For authentication you need your user ID and password from the Active Directory of the university.

macOS

In case you are using a macOS machine you can access the ISO server by pressing CMD+K while in the Finder. As server address you have to enter:

smb://wfs-msiso.top.gwdg.de/iso$

For macOS only the Office serialiser which can be obtained from the ISO Server too but no KMS Server is needed.

Authentication is the same as with windows.

Activation

For the activation of Windows and Office in the Campus Agreement the GWDG offers the use of a so-called Microsoft Key Management Server (KMS). The use of the KMS server is recommended.

If the KMS server can not be used in justified cases, then instead a MAK key can be requested by e-mail to support@gwdg.de. The sender's address has to be one of the e-mail addresses assigned by the university or by the GWDG.

Software for Students

Students can obtain Microsoft 365 with Office as part of the Campus Agreement from 01.05.2021 via the GWDG customer portal:

  1. Registration at Customer Portal of the GWDG: www.gwdg.de
  2. In the account management under External services click on Edit
  3. Click Activate for Office 365 / Office
  4. Read the data protection information + terms of use and submit the displayed data protection dialog if you agree
  5. After max. 30 minutes you will receive a confirmation email with payment information as soon as the activation has been completed

You then have 21 days to transfer the fee of 9,99 €.

Use is possible both locally (local installation of the software) and in the Microsoft Cloud. After the end of your studies, the licence may no longer be used. The licence is activated by your student e-mail address and the password you know, which you also use, for example, to log in to eCampus.

Software for employees

Employees can obtain Microsoft 365 with Office for their own devices as part of the Campus Agreement via the GWDG customer portal:

  1. Registration at Customer Portal of the GWDG: www.gwdg.de
  2. In the account management under External services click on Edit
  3. Click Activate for Office 365 / Office
  4. Read the data protection information + terms of use and submit the displayed data protection dialog if you agree
  5. After max. 30 minutes you will receive a confirmation email as soon as the activation has been completed

Use is possible both locally (local installation of the software) and in the Microsoft Cloud and can be made on private devices in accordance with the University's terms of use. After leaving the service of the university, the licence may no longer be used.

Please note: Due to changes in Microsoft’s licensing regulations, the Office offer for private devices for employees of the central administration and the UMG cannot be continued for data protection reasons.

Funding

The university will provide information about the distribution of costs between the faculties to finance the Campus Agreement.
